Events – especially – the big ones are attended by a lot of people, not to mention the people who work behind the scenes, so many things can go wrong. In order to protect any investment and interest in the event, the organizer can have a peace of mind through acquiring a special event insurance. Even tenants and vendors and other participants can be covered by the plan. While the saying “better safe than sorry” is a bit overused, it is nonetheless very true when it comes to events like these, where a lot is at stake – for the event planner and coordinator, not only their financial investment, but also their professional reputation is at stake.

Of course, the amount you will need to pay in premiums and other charges will depend on the type of coverage you get, which will in turn depend on the size of the event, and several other factors that will be present in the type of event you are going to hold. For example, holding a symposium on the latest medical breakthroughs will naturally have a different kind of special event insurance from let’s say, that of a rock concert or a food and alcohol show.

One thing to remember when getting a special event insurance plan is to always read the fine print – or at least get someone to read it well for you. Many event planners and organizers make the mistake of not reading their contracts well, which results in a lot of misunderstanding and problems should some incident occur that warrants the application of the insurance policy. If you are too busy organizing an event, you can hire a lawyer or have someone dedicated to reading the terms and conditions of the contract you are entering so that you are properly insured and you are getting the best value for your money.

Another thing to consider is the reputation of the company you are getting to handle your special event insurance. It is paramount that you hire a reputable and reliable insurance outfit so that there is lesser chance of you running into trouble should anything untoward happen in your event where you need to have insurance.

Sometimes many venues also see the need for event planners and the event itself to be covered by insurance –especially when alcohol is concerned, the chances for an untoward incident to happen increases greatly, so you should always be covered. For example, a guest gets drunk and then slips and falls on the ground; maybe he gets a few bruises and minor injuries, but decides he want to sue the event planner, the organizer – basically anyone whom he or she can sue. Without special event insurance, you would be tearing your hair apart trying to find a solution for this, but with insurance, you back is covered and the insurance company will be the one to fix things – whether that involve settling with the party or pursuing a countersuit.
